Autocomplete in Outlook 2003

The autocomplete function for e-mail addresses is turned on by default in Outlook 2003. This can cause problems with contacting students after the transition to Google Apps for CSP. In order to remove this functionality it is necessary to first disable the function and then to remove the file containing the form fill data that has already been stored.

Disable Collection of AutoComplete Data

In order to disable the collection and display of form fill data, follow these instructions:

  1. Open Outlook.
  2. Select Tools from the menu bar
  3. Click on Options
  4. In the Preferences Tab Select E-mail Options
  5. Select Advanced Email Options...
  6. Uncheck the box in front of Suggest names while completing To, CC, and Bcc fields

Display Hidden Files and Folders

In order to see the files that are manipulated by Outlook, you will need to enable the display of hidden files and folders. This will display all files that are on your computer. Many of these files are hidden to prevent accidental deletion. If you are not comfortable at this stage, please contact the Help Desk.

  1. Click on My Computer
  2. Click on the Tools menu
  3. Click on Folder Options...
  4. On the View tab select Show hidden files and folders
  5. Uncheck the box Hide extensions for known file types

Remove Previously Collected Data

In order to remove the data that has already been collected, it is required to delete the file. Please note that it is necessary to close Outlook at this point. Follow these instructions:

  1. Close out of Outlook.
  2. Go to the following folder location: C:\Documents and Settings\username\Application Data\Microsoft\Outlook
  3. Locate the file titled Outlook.NK2 and delete it.
    • Note: Verify the location of the file. Deleting a Office Data File in any other folder may cause you to lose stored email.
  4. All collected data has now been deleted and no additional form data will be collected or displayed.

Restore Hidden Files Status

  1. Click on My Computer
  2. Click on the Tools menu
  3. Click on Folder Options...
  4. On the View tab select Do not Show hidden files and folders
  5. Check the box Hide extensions for known file types

Restore the Collection of AutoComplete Data

In order to restore the collection of AutoComplete data, follow these instructions:

  1. Open Outlook.
  2. Select Tools from the menu bar
  3. Click on Options
  4. In the Preferences Tab Select E-mail Options
  5. Select Advanced Email Options...
  6. Check the box in front of Suggest names while completing To, CC, and Bcc fields
