Creating and sending a Distribution List.

How To Create a Distribution List

  1. Open Outlook.
  2. From the File menu choose New...Distribution List.

  1. In the "Name" field, enter the name of the new distribution list.
  2. Click Select Members.

  1. From the Show Names from the drop-down list, select the address book that contains the names you want to add.
  2. In the "Name" field select the name from the list that appears or type in the name you want to add to the distribution list in the Type Name box.

  1. Click Members button to copy the name to the Add to Distribution List area.
  2. When you have added all of the names, click OK.
  3. Click Close and Save.

How To Use a Distribution List

  1. Open Outlook.
  2. Click New in the Standard Toolbar.
  3. Click To.
  4. From the "Name" list, select the distribution list you want. You may need to choose Contacts from the Show Names from the list.
  5. Click To.
  6. Click OK.

How To Update a Distribution List

You need to first update the email on the contact BEFORE you can change your Distribution List

  1. Open Outlook.
  2. Click Contacts in Folder List.
  3. Open contact you need to change.
  4. Make the appropriate changes to the email address.
  5. Click Save and Close.
  6. Double-click to open the Distribution List you need to update.
  7. Click the Update Now button. You should see the change reflected in list.
  8. Click Save and Close.
